Arena Lite Subscription Agreement between The Arena Hub Ltd and the subscribing practitioner or school.
This Agreement is between The Arena Hub Ltd ("Arena Hub", "we", "us"), a company registered in England and Wales, and the subscribing practitioner or school ("User", "you") who purchases access to the Arena Lite platform. By completing the subscription checkout, you agree to be bound by these Terms.
Arena Lite is a cloud-based evidence management platform designed for Alternative Provision (AP) and Social, Emotional, and Mental Health (SEMH) educational settings. It is accessed via your existing Google Workspace account and enables practitioners to capture, organise, and report on student evidence in a forensically structured, UK GDPR-compliant manner.
The service includes: forensic evidence capture, EYFS taxonomy mapping (285 objectives), mobile quick capture, safeguarding log, student scorecards, gap analysis, and LA-ready PDF report generation. Arena Hub reserves the right to add, modify, or remove features with reasonable notice.
Arena Lite is offered on two subscription plans, both billed through Stripe, Inc. and subject to auto-renewal:
Subscriptions auto-renew at the end of each billing period unless cancelled before the renewal date. You will receive a reminder email before annual renewal. Payment is processed securely by Stripe. Arena Hub does not store payment card data.
14-day cooling-off period: In accordance with the Consumer Contracts Regulations 2013, you have the right to cancel within 14 days of your initial purchase and receive a full refund, provided you have not activated the licence and commenced use of the service. Activation constitutes agreement to waive this right, as permitted by the regulations for digital services where delivery is immediate.
Upon successful payment, Arena Hub grants you a limited, non-exclusive, non-transferable licence to use Arena Lite for the duration of your active subscription. The licence covers a single named practitioner. You may not share your licence key or account credentials with third parties, sub-licence the platform, or use Arena Lite for purposes other than those described in these Terms.

Data sovereignty is a founding principle of Arena Lite. All student data — including evidence records, safeguarding logs, and student profiles — is stored exclusively within your school's Google Workspace environment (your Google Drive). Arena Hub does not hold or retain student personally identifiable information (PII) on its own systems.
In relation to student data that transiently passes through Arena Hub's processing infrastructure during a write or read operation, the following roles apply under UK GDPR:
Arena Hub's obligations as Data Processor include: processing student data only on your documented instructions, implementing appropriate technical and organisational security measures, not engaging sub-processors without your knowledge, and assisting you in responding to data subject rights requests where technically feasible.
Arena Lite is licensed for educational evidence management purposes only. You agree not to use the platform for any purpose other than the capture, organisation, and reporting of student evidence in an educational setting. You must not resell, redistribute, sub-licence, or commercially exploit the Arena Lite platform or any component thereof. You must not attempt to reverse-engineer, decompile, or extract the underlying source code of the platform.
You are responsible for ensuring that all staff who use your Arena Lite account do so in compliance with these Terms and your school's data protection obligations.
Arena Hub retains full ownership of all intellectual property in the Arena Lite platform, including but not limited to: the software architecture, the Library codebase (Google Apps Script and Cloud Run services), the EYFS taxonomy mapping data, all UI/UX designs, documentation, and trademarks associated with The Arena Hub and Arena Lite. The Library code is proprietary and is not made available to Users. No rights in Arena Hub's intellectual property are transferred by this Agreement.
You retain ownership of all student data and evidence content that you create and store within your Google Workspace using the platform.
Either party may terminate this Agreement by giving 30 days' written notice. You may cancel your subscription at any time via the account portal or by emailing hello@thearenahub.co.uk. Cancellation takes effect at the end of the current billing period; no refund will be issued for the unused portion of the current period, except where required by statutory consumer rights.
Arena Hub may suspend or terminate your access immediately if you materially breach these Terms, including but not limited to: licence key sharing, reverse engineering, or use of the platform for unlawful purposes.
Upon termination, your licence to use Arena Lite ceases. Your student data, which resides entirely within your own Google Workspace, remains under your control and is unaffected by termination.
Arena Hub provides Arena Lite on an "as is" and "as available" basis. To the fullest extent permitted by law, Arena Hub shall not be liable for any indirect, incidental, special, or consequential loss or damage arising from your use of the platform, including but not limited to: loss of data, loss of revenue, or regulatory sanction resulting from inaccurate evidence records. Arena Hub's total aggregate liability to you shall not exceed the total subscription fees paid by you in the 12 months preceding the claim.
Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded under English law.
These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising under or in connection with this Agreement shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Arena Hub may update these Terms from time to time. Material changes will be communicated to active subscribers by email at least 30 days before they take effect. Continued use of the platform after the effective date of updated Terms constitutes acceptance of the revised Terms.
